Background:
There are two methods of cataloguing multi-volume sets
- The first method is to catalogue the whole set on one bibliographic record
- The number of volumes is recorded in the Physical Description (300) field
- In the case of each volume in the set having unique titles, the titles are recorded in the Table of Contents Note (505) field. Each title is recorded as analytical title in field 740s.
- The second method is to have separate bibliographic records for each volume
- The title of the set would be in the series title (490/830)
Rationale:
- The purpose of this policy is to facilitate patrons to request individual volumes in a set through the AFN and inter-campus borrowing
Exceptions to this Policy:
- Electronic resources (including those with vendor supplied metadata)
- Audio Visual materials (including DVDs)
- Shelf-Ready materials (If needed, they can be re-catalogued as separate records)
- Law Library materials
- Multi-volume sets that do not have individual titles
- Non-fiction (If needed, they can be re-catalogued as separate records)
Policy Statement:
- Catalogue fiction multi-volume sets as separate records for individual volumes with unique titles, include the series title (490/830) for the set.
- Non-fiction multi-volume sets will be treated case-by-case.
- If the whole set has the same author, add volume/book number to the LC call number. For example, for the book titled Mockingjay by Suzanne Collins the LC call number is PS3603.O4558 M63 2014 Bk.3
- If each volume has different authors, the call number should be based on the individual author, even though volumes might not be shelved together.
