Introduction
- LibQUAL is an online survey developed by the Association of Research Libraries. This survey instrument helps libraries assess and improve their services, spaces, and collections. York University Libraries (YUL) is running LibQUAL until March 26, 2025.
- Library Census Day is a complementary initiative that YUL is running on February 26, 2025 to gather a one-day snapshot of library location usage on a typical weekday.

LibQUAL+® FAQ
LibQUAL is a web-based survey offered by the Association of Research Libraries that helps libraries:
- assess and improve library front-line services;
- understand if the collections (print and electronic) meet user expectations;
- and determine how well library spaces meet patron needs.
An interesting aspect of the survey instrument is that it measures library users' minimum, perceived, and desired levels in each of the above areas. By filling out the survey and providing feedback in these areas, a library’s users can help identify areas for improvement.
Since 2000, more than 1,300 libraries have participated in LibQUAL, including college and university libraries, health sciences libraries, academic law libraries, and public libraries.

The goals of LibQUAL are to:
- Foster a culture of excellence in providing library service;
- Help libraries better understand user perceptions of library service quality;
- Collect and interpret library user feedback systematically over time; and
- Provide libraries with comparable assessment information from peer institutions.
Running the LibQUAL survey will help the Libraries:
- Collect user feedback on library services, spaces, and collections;
- Analyze the feedback to understand where the Libraries can improve, where they are meeting user expectations, and where they may be exceeding expectations;
- Benchmark York University Libraries performance against peer libraries; and
- Analyze the practices and services of library systems that are evaluated highly by their users.
The LibQUAL survey evolved from a conceptual model based on the SERVQUAL instrument, a popular tool for assessing service quality in the private sector. The Texas A&M University Libraries and other libraries used modified SERVQUAL instruments for several years; those applications revealed the need for a newly adapted tool that would serve the particular requirements of libraries.
The Association of Research Libraries, representing the largest research libraries in North America, partnered with Texas A&M University Libraries to develop, test, and refine LibQUAL. This effort was supported in part by a three-year grant from the U.S. Department of Education's Fund for the Improvement of Post-Secondary Education (FIPSE).
Access the LibQUAL Survey
York University students, faculty, and staff will be invited to participate in LibQUAL by email. The email will include the survey's URL for accessing the online survey form. The survey can also be accessed through the following links:

Amount of Time to Complete LibQUAL
It takes between 3 to 8 minutes to complete the LibQUAL survey.
The LibQUAL Survey Structure
- The LibQUAL survey has 26 core questions; however, respondents will only be asked to answer 13 of the 26 core questions.
- The 13 questions will be randomly selected for each survey participant. At the end of the survey form, there is also a box for open-ended comments.
- The survey also asks participants to complete a set of questions on their library usage (e.g., which library location they use the most) and their demographic information (e.g, age, York status, etc.).
- Participants also have the option of including their email address to be entered into a draw for one of 50 $25 YU-card top ups.
York University Libraries (YUL) will email the survey to all registered part-time and full-time students enrolled in York programs. YUL will also email the survey to all York full-time faculty, sessional instructors, and full-time and part-time staff.

Yes! It is completely optional to participate in the prize draw for 1 of 50 $25 YU-card top-ups. To enter your name into the draw, you must:
- Be a York University student and legal resident of Canada;
- Complete the LibQUAL survey; and
- After completing the LibQUAL survey, click the prize draw link. This will take you to a form where you can enter your York email address and York student number to enter the prize draw.

York University LibQUAL 2025 Survey - OFFICIAL CONTEST RULES
- Contest Period
- The York University LibQUAL+ 2025 survey (the “Contest") is organized by York University as represented by the York University Libraries (the “Organizer”), and will take place from 9:00 a.m., Eastern Time (EST) Wednesday, February 26, 2025, to 11:59 p.m. EST Wednesday, March 26, 2025. (“Giveaway Period”).
- Eligibility
- The Contest is open only to legal residents of Canada, excluding Quebec, who have reached the age of majority in the province or territory in which they reside at the time of entry, who are students at York University, that have received and completed the LibQUAL+ 2025 survey.
- You are not eligible to enter if you are:
- i. an employee, representative or agent of York University, its advertising or promotional agencies, professional representatives, printing suppliers, licensees or the prize supplier;
- ii. a retailer on any of York University’s campuses; or
- iii. a member of the immediate family of any of the above persons (i.e. spouse, child, sibling, parent) or a member of the household of any of the above persons.
- How To Enter:
- No purchase is necessary to enter.
- To enter you must have a valid York ID and email address.
- You have completed a LibQUAL+ 2025 survey. All survey responses will remain confidential.
- Upon completion and submission of the Survey, you will be asked if you would like to enter the Contest, you can choose to enter the contest by clicking ‘yes’, you will then be redirected to a new page that is separate from the survey which contains the Contest form, In the Contest form you will be asked to provide your first name and email address that will be used in the random draw for the Contest. If you choose not to enter the Contest, you may opt out by selecting ‘no’. You may submit only one (1) entry.
- Entries must be received before the contest closing date, 11:59 p.m. EST, Wednesday, March 26, 2025
- All entries become the property of York University and may be reproduced, reused, and displayed for promotional purposes in all media.
- Contest entries will not be acknowledged or returned. The Organizer reserves the right to disqualify any entries by persons determined to be tampering with or abusing any aspect of the Contest or which violate or are deemed ineligible under these Official Rules.
- Must not contain any obscene or defamatory statements, including but not limited to words or symbols that are widely considered offensive to individuals of a particular race, ethnicity, religion, sexual orientation, disability or age (as determined in the selection committee’s sole discretion).
- The Organizer is not responsible for late, lost, incomplete, illegible, misdirected, stolen, delayed, damaged or destroyed entries, or for any unavailable network connections, failed, incomplete, garbled, or delayed computer transmissions, on-line failures, hardware, software or other technical functions or disturbances or any other communications failures or circumstances affecting, disrupting or corrupting the Contest in any manner.
- Prizes
- By entering the contest, you will have a chance to win one of 50 YU card top-ups of $25.
- 50 entries will be randomly selected, by the Organizer.
- The selected winner will receive email notification that they have been selected for the prize starting March 31st, 2025. The Entrant must respond and confirm acceptance of the prize within three (3) business days of the notification email.
- In the event that a selected winner does not respond to the Organizer within three (3) business days of notification or does not comply with the Official Contest Rules, the prize will be forfeited, and the prize will be reassigned through random draw. The new winning eligible winner will have three (3) business days to confirm acceptance.
- No cash alternative or substitution of the prize is provided, except that York University, in its sole discretion, reserves the right to substitute a prize of equal or greater value if the prize is unavailable for any reason. The prize is provided “as is” without warranty of any kind and must be accepted as awarded. York University disclaims all warranties including but not limited to implied warranties of merchantability, fitness for a particular purpose or non-infringement.
- Prize is not transferable unless authorized in writing by York University before the transfer is made. Such authorization may be granted or withheld in York University’s sole discretion.
- Any applicable taxes are the responsibility of the winner.
- In order to be declared a winner, the selected winner(s) will be required to answer a skill testing question and swear an affidavit indicating eligibility and compliance with these Official Contest Rules. In the event that the winner has not yet reached the age of 18 years or the age of majority in the winner’s province or territory of residence, then the selected winner’s parent/legal guardian must sign the affidavit to confirm compliance and consent with these Official Contest Rules and to accept the prize on behalf of the minor and provide a release and indemnity pursuant to Subsection 5(d) below.
- Conditions of Participation
- By participating in this Contest, you agree:
- to be bound by these Official Contest Rules and the decisions of the Organizer, whose decisions are final;
- to the use of your name, likeness, voice, image, recording, video footage and statements in connection with this Contest and the promotion and exploitation thereof;
- that if selected as a winner, you give York University and its agents the right to publish or broadcast your name, likeness, voice, image, recording, video footage or statements for editorial, promotional, advertising and publicity purposes, without compensation other than the value of the prize offered; and
- to release and indemnify and hold harmless York University, its advertising and promotional agencies, the prize suppliers, and all their respective officers, directors, employees, owners, agents, contractors, representatives, successors and assigns from any liability in connection with or arising out of this Contest, the awarding of the prize, the use of any personal information or the use of merchandise purchased in relation to winning a prize.
- By participating in this Contest, you agree:
- Termination
- York University also reserves the right, without prior notice, and at any time, to terminate the Contest, in whole or in part or modify, suspend, or extend the Contest in any way.
- General Provisions
- The invalidity or unenforceability of any provision of these Official Contest Rules does not affect the validity or enforceability of any other provision.
- This Contest and these Official Contest Rules are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein, without giving effect to any choice of law or conflict of law rules or provisions that would cause the application of any other jurisdiction’s laws.
- Should the Contest be terminated prior to the stated expiration date, the Organizer shall, to the extent possible, award any remaining prizes in a fair and equitable manner, determined in its discretion, among the eligible entries received that are unaffected by the problem.
- Privacy Notice
- Personal information in connection with the Contest is collected under the authority of The York University Act, 1965 and will be used for the administration of the Contest and related purposes. - Limitation of Liability
- The Contest is not associated to, run by, or sponsored by Instagram or X. By participating in the Contest, the participant provides information to the Organizer and not to Instagram or X. By accepting these Rules, you release Instagram and X of all responsibilities.
The LibQUAL survey is anonymous. The survey collects information on users’ perceptions of library service quality. Because this is a web-based survey, respondents consent to participate by electing to fill out the survey questionnaire.
Servers
Survey data is stored on secure servers located at a private hosting facility located in the United States. Access to the data is limited to the Association of Research Libraries (ARL) staff and authorized staff from York University. Data are stored indefinitely, with the exception of email and IP addresses.
Emails & IP Addresses
If a participant chooses to enter the draw for the 1 of 50 $25 YU-card top-ups, they will need to provide their YorkU email address. The ARL’ policy and practice is to purge these emails from their database six months after the close of each survey session.
The survey captures respondents’ public IP address. IP addresses are purged from the database on the same schedule as the email addresses.
Confidentiality & Privacy
The ARL recognizes the vital role of their respondent’s information. Primary data gathered by ARL from human subjects is kept strictly confidential and used for statistical purposes only. Published statistics are released in a way that is designed to prevent identification of individuals. To learn more about ARL’s data security practices, please review their webpage on Data Security.
Data Collection
Personal information that you provide to the University is collected under the authority of the York University Act, 1965 and will be used for educational, administrative and statistical purposes. At all times personal information will be protected in accordance with the Freedom of Information & Protection of Privacy Act.
Once the data analysis is complete and available to York University Libraries (YUL), we will keep the York community informed of the survey’s outcomes by publishing a report on the Libraries’ website and sharing the results in an aggregate form on the Libraries’ social media and other distribution channels.

Library Census Day FAQ
On February 26, 2025, all library users with a YU-card will be encouraged to tap in and tap out of the following libraries during their operating hours:
- Bronfman Business Library
- Leslie Frost Library
- Markham Campus Library
- Osgoode Hall Law School Library (Law Library)
- Scott Library
- Steacie Science and Engineering Library
Individuals who wish to participate, but do not have a YU-card with them will be able to participate by either:
- providing their Passport York username;
- or providing their student or employee number.
This is a completely optional initiative, and students, faculty, staff, and community members are not required to participate when entering or leaving a library on February 26, 2025.
Library Census Day will allow York University Libraries (YUL) and the Law Library to collect data about who is using the libraries’ spaces and when these spaces are being used. All data collected will be de-identified to maintain participant confidentiality.
Library Census Day is a complementary initiative to the online LibQUAL survey. This initiative will allow YUL and the Law Library to gather a one-day snapshot of our library locations during a typical winter semester day. By collecting this information, YUL and the Law Library will be able to gather additional data on library usage that can help inform future decisions about library services and spaces.
Individuals who participate in Library Census Day will be encouraged to complete the online LibQUAL survey. By completing the LibQUAL survey, participants have the option to be entered into a draw to win one of 50 $25 YU-card top ups.

When participants in Library Census Day scan their YU-card or provide a YorkU identifier, their data will be stored on a private, secure Canadian server that can only be accessed by authorized OIPA staff. OIPA staff will then de-identify the data and provide the de-identified dataset to authorized YUL and Osgoode Hall Law School Library staff for analysis.
The de-identified dataset will be stored indefinitely. The data will not be shared with anyone outside of the authorized OIPA staff and library staff.
